4. Letter to BOS: Committee recommendations regarding Public Works

  • PRT trying to improve communication with the BOS on action items / requests for work to be done by the Public Works crew.
  • PRT had summarized a suggested path forward in a draft letter to the BOS.  McNemar engaged the group in a discussion of the needs expressed in the letter.  PRT believes that many PRT projects do not get sufficient attention from the Public Works crew, for a variety of reasons.  Specific examples were discussed. A lively and informative discussion took place.

A path forward was developed that included the following:

1.      The BOS does not plan to hire anyone new nor establish any new positions.  The goal is to be more efficient in the use of existing personnel.

2.      PRT should e-mail the BOS with requests for Public Works. E-mails should be directed to the Committee liaison, Georgia Brutscher. Temporarily, the e-mails should also go to McNemar. This procedure will be in effect until a more permanent solution is found.

3.      Someone from Public Works may be assigned as coordinator to carry out the work items of the PRT (assuming the BOS approves).

4.      The PRT will assemble a list of trail maintenance items for the HOAs in the township.

5.      PRT will submit an annual budget request to the BOS spelling out the need and details (cost of materials, survey cost, permits, time of the PBC, why this trail is important, etc.) for installing new trails, etc.

6.      PRT should invite Brutscher to every meeting, or at least discuss key issues with her prior to monthly Committee meetings.

7.      PRT provided McNemar with a list of the trails that the Township must currently maintain (including work on the former Hipkins property). McNemar will discuss with Public Works.

5. Founders Day (Sandy Retzlaff)

·        Reviewed status and needs for Saturday.

·        Sandy requested help at 10 on Friday to set up.

·        A separate meeting with Longwood Fire and Ambulance will be held soon to discuss traffic police needs and costs.

6. Stream Team (Bill Haaf)

·        A tree planting will occur on Saturday, October 4 from 9-12 on Denton Hollow Road by the bridge at the Serums and Sellers properties.  We need help digging holes.

·        Next year we will plant at Red Bridge along the creek by Route 52.

·        A new test instrument has been purchased for testing the Pocopson Creek.

Next meeting: Thursday, October 9 at 7:30 p.m.

Adjournment: The meeting was adjourned at 9:30.
